Draft: this notice will be reviewed before launch.
Who we are
AikiOS is a product of Ukachi IT Solutions, a business name registered with the Corporate Affairs Commission of Nigeria (RC 9347696). When you use the forms on aikios.co or contact us, we decide what happens to your details, which makes us the data controller.
What we collect
Only what you give us:
- Demo form: your name, work email, company, role and team size; your phone number if you add it; and, if you choose to tell us, the hardest part of managing staff performance for you.
- Book a call form: the same details (your phone number is required), plus how you track performance today, whether you've spent on staff incentives or HR software in the last year, and what you'd consider paying per person.
- Founding place application: everything on the call form, plus when you would want to start and what you would need before you could start.
- With every form: the time you sent it, the page you sent it from, and the consent statement you agreed to.
- Messages: if you message us on WhatsApp or by email, we keep the conversation and the number or address you wrote from.
If you press "I'd want this" on the demo's Add-ons page, we record only which add-on was chosen and when. No name, email or other personal details are attached.
The demo runs on a fictional company with sample data. Nothing you do inside the demo is sent to us.
Cookies and your browser
We don't use tracking cookies, analytics or advertising tools. This site stores four small settings in your own browser: your light or dark theme, that you've filled in the demo form, which add-ons you said you'd want, and the contact details you last sent (name, email, phone, company, role and team size), so you don't have to type them again on the next form. Press "Not you? Clear my details" on any pre-filled form to remove them. They stay on your device and you can clear them at any time in your browser settings.
Why we use it
To reply to you, arrange the demo or call you asked for, consider your founding place application, and understand which organisations need a product like ours. We rely on your consent, which you give by ticking the box on the form or by contacting us.
To decide who to call first, your form answers are given a simple score and marked hot, warm or cold. This only sets the order in which we follow up. A person reads every request, and the score is never used to refuse you anything.
Who handles it for us
We use a few services to run the site and reply to you. They handle your details only on our behalf:
- Google (Google Sheets and Gmail): stores form submissions and sends us a notification when one arrives.
- Cloudflare: hosts this website. Like any web host, it processes technical details such as your IP address to deliver pages and protect the site from attacks.
- Zoho: hosts our info@aikios.co mailbox.
- WhatsApp (Meta): if you choose to message us there.
- Cal.com: if you pick a call time through our booking page.
Some of these services store data on servers outside Nigeria. We only use providers that protect personal data to a standard recognised under the Nigeria Data Protection Act 2023. Only the AikiOS team can see your details. We never sell them or share them with anyone else.
How long we keep it
Up to 24 months after you last contacted us, unless you become a customer (then our customer agreement applies) or ask us to delete it sooner.
Your rights
Under the Nigeria Data Protection Act 2023 you can ask to see the details we hold about you, get a copy of them, correct them, have them deleted, or object to how we use them. You can withdraw your consent at any time, and we'll stop contacting you. Withdrawing consent doesn't affect anything we did before.
If you're unhappy with how we've handled your data, please tell us first so we can put it right. You can also complain to the Nigeria Data Protection Commission.
Contact
Email info@aikios.co or message us on WhatsApp (0908 446 0136), and we'll reply within 7 days.
We'll update this notice when what we collect or how we use it changes, and change the date at the top.
